Terms of Service

1. Introduction

Welcome to Bloom Therapy. By using our services, you agree to abide by the following terms and conditions. Please read them carefully.

2. Booking and Payments

  • Session Scheduling: All sessions are scheduled and booked in advance to ensure availability.

  • Package Payments: Package payments must be paid in full to confirm and secure sessions. Missed sessions will be moved to the next scheduled session date or rescheduled to another day.

  • Payment Methods: We accept bank transfers, debit/credit cards, and online payment via payment link. For some services, we also offer Tabby as a payment option.

  • Late Payments: Outstanding payments must be settled before any further sessions are conducted.

    • A payment is considered late if not settled within 5 calendar days after the due date on the invoice.

    • A delayed payment will incur an AED 250 delayed payment fee and a daily charge of AED 35 until the outstanding balance is cleared.

    • Repeated delays in payment may result in suspension of services.

  • All payments are non-refundable, including payments made for group programmes.

3. Cancellations and Rescheduling

  • Cancellations:

    • Cancellations must be made at least 24 hours in advance to avoid being billed.

    • Cancellations made less than 24 hours in advance will not be refunded or rescheduled.

    • Recognising that children may become unwell unexpectedly, we allow cancellations until 8AM on the day of the session.

    • Parents or guardians must inform us in advance if a child will miss a session due to a school trip or event. Failure to notify us will result in the session being charged as usual.

    • If a client will be absent due to an extended leave, parents must inform the therapist in writing at least seven (7) days in advance of the planned absence. Failure to provide notice will result in the applicable cancellation guidelines described herein being enforced.

  • No-Shows:

    • Failure to attend a scheduled session without prior notice will be considered a no-show and will not be refunded or rescheduled.

4. Termination of Services

  • Reasons for Termination:
    Services may be discontinued under the following circumstances:

    • Consistently late or missed payments.

    • If the client has reached their therapy targets, as deemed appropriate by the clinician team.

    • If parents or guardians choose to discontinue therapy for personal reasons, with or without providing an explanation.

    • If a client is absent for more than two (2) months for any reason, any unused sessions and payments will no longer be valid.

    • Clients who have not attended sessions for more than six (6) months may have their agreement terminated with immediate effect.

    • If a child misses more than 20% of scheduled sessions within a three-month period, their appointment slot may be reallocated to clients on the waiting list.

  • Short Notice Termination:
    If parents terminate services with less than seven (7) days’ notice, cancellation guidelines will apply, including charges for the seven-day notice period. No refunds will be provided for terminations within the package month.

  • Prepaid Packages:
    Prepaid sessions must be completed before termination. A discharge report or letter will be provided after the final session.

5. Privacy and Confidentiality

  • Client Information:
    All client information is treated with the strictest confidentiality and is securely stored in compliance with applicable data protection laws.

  • Sharing Information:
    Information about clients will only be shared with third parties under the following circumstances:

    • With explicit written consent from the parents or guardians.

    • When required by law, such as in cases of safeguarding concerns or legal obligations.

  • Data Storage and Access:
    All session notes, assessments, and correspondence are stored securely. Access to this data is restricted to authorised personnel only.

  • Use of Data for Training or Research:
    Anonymised data may be used for training, supervision, or research purposes, with prior consent from parents or guardians.

6. Liability

  • Parent and Guardian Responsibilities:
    Parents or guardians are responsible for providing accurate information regarding their child’s needs, medical history, and relevant concerns to ensure appropriate planning and intervention.

  • Session Attendance:
    Bloom Therapy is not responsible for missed progress or setbacks due to missed sessions, late arrivals, or failure to adhere to recommendations provided by the clinician.

  • External Factors:
    Bloom Therapy is not liable for disruptions or delays caused by external factors outside of its control, such as severe weather, power outages, or other unforeseen circumstances.

7. Fees and Rates

  • Payment Confirmation:
    All fees must be paid in advance to confirm bookings, as specified in the Booking and Payments section.

  • Rate Changes:
    Bloom Therapy reserves the right to adjust fees and rates for services. Clients will be notified of any changes at least 30 days in advance, and rate changes will not affect packages or sessions already paid for.

  • Additional Fees:
    Additional charges, such as late payment fees, are detailed in the Booking and Payments section.

8. Changes to Terms

  • Right to Modify:
    Bloom Therapy reserves the right to update or modify these Terms of Service at any time.

  • Notification of Changes:
    Clients will be notified of significant changes to the Terms of Service via email or an announcement on our website.

  • Continued Use of Services:
    By continuing to use our services after any updates to the Terms of Service, clients agree to the revised terms.
